Loading an Excel file of names and addresses

Send us an Excel file of your contact names and addresses and we'll do our best to load the information into your TeamLedger workspace to save you time. This is free if done with brand new workspaces. For existing workspaces there's a nominal fee.

Send the file(s) to helpdesk@teamledger.com   We'll let you know when it's loaded, or if we were not able to load it and why.
Your information is kept private as discussed in our Privacy Policy.

The format is somewhat flexible. It may work best to use two spreadsheets, one for individuals and one for businesses.

For individuals we recommend having fields for:
  • Person's first name (plus middle initial or name if any)
  • Person's last name
  • Person's name suffix such as Jr or III
  • Street address line 1
  • Street address line 2
  • City
  • State
  • Zip code / postal code
  • Country if foreign
  • Whether the person is primarily a donor, a participant, or hired staff (optional)
  • For donors, any alternative naming to use on donor correspondence (optional)

    For businesses and organizations we recommend having fields for:
  • Business name
  • Contact person name
  • Street address line 1
  • Street address line 2
  • City
  • State
  • Zip code / postal code
  • Country if foreign
  • Whether the business is primarily an advertiser, a vendor, etc. (optional)

    In our scheme of things, street address line 2 is often blank, but this isn't too important. The country field can be omitted if everyone is in the same country. The columns can be in any order left-to-right. If you have seasonal residents, additional address fields can be present for non-local address.

    If unsure how to proceed just send what you have and we'll take a look.

    We don't currently have a way to load money transactions in bulk. Typical strategy is to choose a cutover date to begin entering transactions into TeamLedger and maintain any previous bookkeeping system as an archive for prior information. In some cases back-entry of certain transactions is useful. Earlier historical totals can be entered to support historical year-over-year reporting in TeamLedger.
